Introduction

What is EvenCal and who is it for?

EvenCal Booking Manager is a professional booking and calendar management platform designed for property managers, hosts, and rental businesses. It helps you manage all your bookings in one place β€” across multiple platforms, properties and teams.

While EvenCal is primarily built for apartment and vacation rental management, it is equally suitable for managing any recurring or bookable resource β€” including event venues, equipment rentals, meeting rooms, boats, vehicles, and more.

Minimum Booking Duration β€” Currently EvenCal supports a minimum booking duration of 3 nights/days. We are actively working to support 1-night/day bookings in a future update.

EvenCal is available as a web application, a native Windows desktop app, and an Android mobile app (iOS coming soon). All platforms share the same data in real time.

Getting Started

Set up your account in minutes

1. Create Your Account

Visit the registration page

Go to tenetra-booking.com and click "Start Free Trial". Fill in your company name, email and password.

Confirm your email

Enter the same email address twice to confirm it is correct, then set a secure password (minimum 6 characters).

Access your dashboard

You will be automatically redirected to your admin dashboard after registration. Your 14-day free trial starts immediately.

Add your first property

Navigate to Apartments and add your first property. You can start creating bookings right away.

Logging In

Visit the admin panel at tenetra-booking.com/booking_saas/admin and enter your email and password. Use the eye icon to toggle password visibility.

Language Settings

EvenCal supports 5 languages: English, German, Spanish, Hungarian and Polish. Change the language using the selector in the top-right corner of any page.

Apartments

Managing your properties and resources

The Apartments section is where you manage all your properties or bookable resources. Each apartment has its own calendar, color code, and settings.

Adding an Apartment

Open Apartments

Click "Apartments" in the navigation menu, then click "Add New Apartment".

Fill in the details

Enter the name, address, owner name and owner email. Choose a color to identify this property on the calendar.

Add iCal link (optional)

Paste the iCal URL from Booking.com, Airbnb or another platform to automatically import bookings.

Save and generate links

Click Save. Then generate a Public Link to share with the property owner.

iCal Synchronization

EvenCal supports two-way iCal sync. You can import bookings from external platforms AND export your calendar so other platforms can read it.

Bookings

Creating and managing reservations

Bookings are the core of EvenCal. You can create, edit and delete bookings manually, or have them imported automatically via iCal sync.

Minimum 3 nights β€” All bookings must be at least 3 nights/days long. Support for shorter bookings is planned for a future release.

Creating a New Booking

Click "Add New Booking"

From the Bookings screen or the Dashboard "New Booking" button.

Select apartment and dates

Choose the property, set the check-in and check-out dates. The system will warn you about any conflicts.

Enter guest details

Add the guest name, email and phone. An email confirmation will be sent automatically to the guest.

Set price and status

Enter the total price, deposit amount, booking source and status. Add any notes if needed.

Booking Statuses

Confirmed

Booking is confirmed and active. Default status for new bookings.

Paid

Payment received. Triggers automatic email notifications to guest, owner and tenant.

Cancelled

Booking was cancelled. The slot becomes available again on the calendar.

Email Notifications

  • Guest receives a confirmation email when a new booking is created
  • Property owner receives a notification for each new booking
  • When status changes to "Paid", guest receives a deposit confirmation email
  • Emails are sent in the guest's language (multilingual support)
  • iCal-synced bookings do not trigger duplicate email notifications

Quick Availability Search

From the Dashboard, use the "Find Available Apartments" section. Enter check-in and check-out dates, then tap Search. Available apartments are listed β€” tap any one to open a pre-filled booking form instantly.

Staff Management

Managing team members and their access

Staff members can be given access to specific apartments via a generated link β€” without needing a full EvenCal account. This is ideal for cleaners, maintenance teams or co-managers.

Adding a Staff Member

Go to Staff Management

Click "Staff" in the main navigation menu.

Click "Add New Staff"

Enter the staff member's name, position and email address.

Assign apartments

Select which apartments this staff member should have access to.

Copy and share the link

After saving, a unique link is generated. Share this link with the staff member so they can view the calendar for their assigned apartments.

ℹ️ Staff members can only view their assigned apartments' calendars. They cannot add, edit or delete bookings.

Statistics

Insights into your business performance

The Statistics section gives you an overview of your booking performance β€” revenue, occupancy, cancellations and more β€” broken down by apartment and booking source.

  • Total bookings and revenue for the current year
  • Average nights per booking
  • Cancellation rate
  • Per-apartment performance breakdown
  • Booking source breakdown (Manual, Booking.com, Airbnb, etc.)
  • Monthly booking distribution

The EvenCal mobile app is available for Android and coming soon to iOS. It provides full booking management functionality from your smartphone.

Installation
